Send a candidate to a client without leaving the desk

Build the submission pack and email it to the client in one action, from your own mailbox. The moment it goes is recorded — who it went to and when — so if two agencies put the same person forward there is an answer to who was first.

The ATS Engine submissions screen on a laptop: a Send to Client pack with CV, cover letter, compliance documents and notes all ticked, and a confirmation reading Sent, recorded and tracked.

Shortlist from the pool, submit in one go

Tick the people you want, find the vacancy, send. One email to the client with a pack each, and every candidate recorded as their own submission.

A candidate list with three people ticked — a healthcare assistant, a support worker and an early years practitioner — above a Submit to Client button.

Message a shortlist in one go

Write it once and send it to everyone you have ticked. Each person gets their own email — nobody is copied in and nobody sees who else was contacted — and it lands in each candidate’s message thread.

A message being composed to three candidates, addressed to each individually rather than as a group, with an Email sent confirmation beside every recipient.

Speed to client, measured

How long it actually takes your desk to get somebody in front of a client, and which vacancies have had nobody sent to them yet, oldest first.

A Time to Client panel showing average days to submission, how many candidates went out today, and a list of the oldest vacancies that have had nobody submitted to them.

Your own compliance document list

Define the documents your sector and your clients ask for — paediatric first aid, occupational health, professional registration, whatever it is — instead of a fixed list. Starter sets for healthcare, education and early years.

A compliance document list holding DBS certificate, occupational health, paediatric first aid, professional registration, safeguarding training, right to work and a custom document, beside binders labelled healthcare, education and early years.

Candidates send their own paperwork

A candidate uploads their own documents and they arrive marked awaiting check, sitting at the top of your screen until one of your recruiters has opened and confirmed it. Until then it is a submission, not evidence.

A candidate uploads panel listing a DBS certificate, first aid certificate, right to work and professional registration, each flagged awaiting check.

  • Real Boolean search across your own benchAND, OR, NOT and brackets. Find the three worth calling, not the ninety.
  • Compliance checked before submissionA booking refuses while a blocking document is outstanding — not a warning after the fact.

Recruiter is £25 a month a seat — 82p a day, falling to £22.50 and £20 as the desk grows — and the candidates you carry never take a seat at all. A year of one seat is less than the fee on a single placement.

01

My desk

Roles tracked, candidates in pipeline, interviews and offers — counted off your desk, not typed in by anybody.

  • Nobody types these numbers in
  • Interviews and offers, live right now
  • Opens on the candidates who need you today
02

Talent pool

Real Boolean search across your own bench — AND, OR, NOT and brackets, the same syntax you already use on a job board.

  • Proper Boolean, not a keyword box
  • Filter by seniority, availability and last contact
  • Find the three worth calling, not the ninety
03

Candidate plan

A plan per candidate — and the readiness check that decides whether you should be sending them out at all.

  • Compliance checked before submission, not after
  • Linked to you, or free for a colleague to pick up
  • The next action recorded, not remembered
04

My tasks

Most placements are lost to a follow-up nobody made. Overdue sits at the top, every item tied to the candidate it belongs to.

  • Overdue first, attached to its candidate
  • Compliance expiries raise their own tasks
  • Chase what is actually late, not everything
05

Pipeline

The whole desk as one board — and each card offers only the moves that are legal from where it stands.

  • A card per application, in its real column
  • Only legal moves, so the status stays true
  • Spot the stall before the client does
06

Team management

Seats counted plainly, and the cost lever most agencies miss: recruiters take a seat, the job seekers in your pipeline never do.

  • Candidates cost you nothing, however many you carry
  • Seats added and removed as the team moves
  • Per-seat price falls as the desk grows
07

Communications

One thread per candidate, stored encrypted — and a message written there can go out as a real email without leaving the record.

  • Every message encrypted where it is stored
  • Send as a real email from inside the thread
  • Nothing stranded in a personal inbox
08

CV template library

Everything you send out looks like it came from one firm — and every document records exactly which template version produced it.

  • House style applied, not reapplied by hand
  • Versioned, with an audit trail per document
  • CVs and cover letters from one library
09

Analytics and reports

The numbers you would otherwise rebuild in a spreadsheet every month — funnel, time to hire, source effectiveness.

  • Three client-ready reports, any date range
  • Runs queued, so a long range never blocks you
  • Evidence for the review, not anecdote
10

Branding and help

White-label the whole application in your agency’s own look — behind its own password, so branding is not something any recruiter can change by accident.

  • Your colours and logo on every screen
  • Its own password, separate from a login
  • Help on the screen you are actually on
11

Application report

The pack you would otherwise assemble by hand before every client call — every application for one candidate, with status, date and fit already computed.

  • Every application on record, on one page
  • A fit score already on every row
  • Client-ready without retyping a thing

End-to-end recruiter journey

The complete recruiter workflow, start to finish - roughly eight minutes, narrated.

What it costs the desk

You have just watched a desk run for eight minutes. It costs 82p a day, per recruiter.

Recruiter is £25 a month a seat, and the first fourteen days cost nothing at all.

Put that next to what it is for. A year of one seat is less than the fee on a single placement. And it is the only line on the desk that does not grow with the work: the candidates you carry cost nothing, however many hundreds are on the bench. The subscription is not the decision. The decision is whether the team spends another quarter rebuilding the pipeline in a spreadsheet, chasing compliance by email, and losing placements to a follow-up nobody made. You have seen it work. The only thing left is whether you use it.

  • Recruiters take a seat. Candidates never doBring your whole bench onto the platform without it costing either of you a penny.
  • One shared board, not five spreadsheetsEverybody on the same pipeline, the same candidates and the same state of play.
  • Fourteen days on your own deskReal vacancies, real candidates, your own compliance rules. No card needed.

Fourteen days free before you pay anything, and no card to start. Subscribe when it has earned it, and cancel in PayPal whenever you like.

Sector compliance

Eight sectors.
Eight sets of paperwork.

Healthcare, education, early years, construction, energy and offshore, driving and logistics, financial services and security-cleared work each check different credentials, and no two of them are the same. A CSCS card is not a DBS. An OEUK medical is not a Driver CPC. ATS Engine ships a starting set for all eight — 44 credential types between them — and every one is yours to edit.

Availability

Who can work, and who is already working.

Ask who is free on Tuesday night and get a list you can actually ring. Book somebody onto the shift from that list and they come off it — so the consultant at the next desk does not phone a person who is already out.

A clash is refused, not warned about. Somebody who offered the whole day counts as working the whole day, so an early shift blocks the night as well.

Try to break it in the demo: book the same person onto two shifts on one day. It will not let you.
The ATS Engine talent pool: candidates filtered by who is available, with their compliance status and the shifts they are already booked onto.
The talent pool, in the live recruiter demo.
Compliance

Your document list, not ours.

Apply the set for your sector in a click, then change whatever does not fit. Add “Asbestos Awareness” or “CA-EBS” in a minute — no release, no waiting on us. A desk covering two sectors applies two, and nothing is hidden from anybody.

Every document type carries its own expiry, its own re-check cadence, and whether that expiry may raise a task at all. Anything falling due inside thirty days becomes somebody's job automatically.

44 credential types across eight sectors, all editable. See exactly what installs, sector by sector, before you sign anything.
The ATS Engine pipeline: candidates moving through stages, each showing compliance status and what is outstanding before they can be submitted to a client.

The awkward questions

Three things worth checking before you trust any of this.

Every recruitment product on the market claims to save you time. Here are the questions that separate the ones that mean it — ask them of us, and of whoever else you are looking at.

Your data, your choice

What happens if I want to leave?

The account owner exports the whole organisation from inside the product — one CSV per table, a manifest of exactly what was written, and every document. Not a support ticket.

The eleven-step checklist

Everything you need to get your data out.

A CSV listing candidates, applications, jobs, documents and everything else, dropping into a folder marked your data.
Complete data isolation

Is my data mixed in with other agencies?

There is one organisation boundary and nothing crosses it. Candidate records are never pooled between agencies and are never used to fill anybody else’s roles. The export checks every single row against your organisation id and aborts entirely rather than emitting one foreign record.

A shielded database marked your agency, separated by a barrier from two other agencies, captioned completely isolated: no shared data, no cross-agency access.
See it for yourself

Can I see it before I hand over an email address?

Yes — the two demo logins are at the foot of the homepage, and they go into the real application rather than a demo of it. Every screenshot on this page was taken from those accounts.

Try the demo accounts
The ATS Engine dashboard on a laptop beside the same account on a phone — the live demo accounts every screenshot on this page was taken from.
Wherever you recruit

Every country hires.
Only the paperwork changes.

Somewhere today a hospital is short of nurses, a site is short of a plant operator, and a school is short of a teacher for Monday. That has never been a British problem. What differs between Manchester, Melbourne, Munich and Milwaukee is the name of the certificate — not the job.

Location neutral

The engine does not know a border

Fit scoring reads the posting you give it and the CV you hold, not a country. Nothing in the matching, the scoring or the workflow asks where you are.

Same engine.
Anywhere in the world.
A globe with location pins beside a CV marked skills match, not location — nothing in the matching, the scoring or the workflow asks which country you are in.
Works your way

The paperwork is yours to write

A desk in Texas builds I‑9 and state licensure exactly the way a desk in Fife builds DBS — same fields, same expiry, same thirty-day task. The US sets ship too.

Same fields.
Same workflow. Everywhere.
A US I-9 form and a UK DBS form side by side, each with the same ticked fields, captioned different countries, same workflow.
Your terminology

Your words, not our vocabulary

Shifts are named in whatever your sector calls them — early, late, night, long day, AM, PM, rotation. Sectors, stages and document types are entered rather than chosen from a list we decided on.

Your terminology.
Your process. Your way.
A your shift names panel with an add your own field, listing early, late, night, long day, AM, PM and rotation, captioned built around your business.
Recruitment teams

One shared board, not five separate logins.

Team pricing is designed around seats, so the platform can grow with the people using it.

RECRUITER VALUE

Don't buy another place to store CVs. Give the desk a connected way to work.

ATS Engine is built around the recruiter workflow: candidates, CV information, jobs, matching, applications, interviews, team visibility and reporting. The walkthroughs show the journey chapter by chapter so you can judge the value for yourself.
